Position Summary

FUNCTION:

Under the direction of the Director, the administrative assistant is responsible for the administrative duties for the Group Enrolment, Administration, Billing, and Contract departments. In addition, the administrative assistant provides support in running monthly reporting, and assists with special tasks and projects as required. 

DUTIES AND RESPONSIBILITIES:

  • Manage general office duties: equipment and facility maintenance, mail distribution, ordering supplies.
  • Provide administrative support to the leadership team consisting of the Director, 3 managers, and 7 team managers - including, but not limited to; preparing written correspondence, develop presentations, scheduling meetings, and meeting minute taking and distribution.
  • Create purchase requisitions and accounts payable vouchers for the department.
  • Maintain department budget tracking and assist in the preparation of yearly budget.
  • Plan or assist in planning department events.
  • Arrange lunches for working meetings for the management team and staff.  Assist with handouts and set up when required.  
  • Initiate performance review process, compile results, distribute appropriate copies and file.
  • Compile department statistics and prepare reports.
  • Initiate travel arrangements, course/conference registration, and travel expense claims.  
  • Assign incoming enrolment/revision work to Group Enrolment, and assist business areas with routine work during periods of heavy workload.

SKILLS AND KNOWLEDGE:

  • Preferred post-secondary training or a minimum of one to two years of related experience.
  • Proficiency in Microsoft Office Suite with advanced capability in Word, Excel, Outlook, PowerPoint and Visio.
  • Demonstrated commitment to excellent customer experience
  • High degree of accuracy and attention to detail.
  • Excellent organizational skills.
  • Exceptional interpersonal skills.
  • Proficiency in researching and preparing a variety of written communication, as well as excellent listening and verbal communication skills
